Aging Report

The Aging Report screen is used to view or print, by detail or totals, full aging, monthly aging or weekly aging reports based on selected criteria for both the account level and store level. This report can be used to obtain a list of accounts over the credit limit, a list of customers locked out from Point of Sale or an Aged Trial Balance, to name a few.

Quick Reporting Options

Full Aging
Displays the 'Full Aging Report'. Accounts that age monthly display first followed by the accounts that age weekly.  


Monthly Aging
Displays the 'Monthly Aging Report'.


Weekly Aging
Displays the 'Weekly Aging Report'.

Report Criteria

Start Acct
Specifies the beginning account number to report data by a range of accounts. Leave blank to report all accounts. Click the button to display the 'Find Account' window to search for a specific account.

 

End Acct
Specifies the ending account number to report data by a range of accounts. Leave blank to report all accounts. Click the button to display the 'Find Account' window to search for a specific account.

 

Sell Store
Specifies the location(s) where transactions were created. Click the button to display the 'Browse Locations' window. Select one store or multiple stores. Check the small checkbox to the left of the # field in the grid header to select all stores or leave the 'Sell Store' field blank to report all stores. Defaults to 'All'.


Age Store
Specifies the store responsible for aging. Click the button to display the 'Browse Locations' window. Select one store or multiple stores. Leave blank to report all stores.


When an account that is assigned to a selected 'Age Store' has not had sales during the selected date range, the account does not display in the report.   


Report Group
Filters accounts by Report Group. Click the button to display the 'Report Group' window to search for a Report Group.

 

 

Highlight a report group and click 'Ok' to populate the 'Report Group' field in the Aging Report screen.


Account Group
Filters accounts by Account Group. Click the button to display the 'Account Group' window to search for an Account Group.

 

 

Highlight an account group and click 'Ok' to populate the 'Account Group' field in the Aging Report screen.


Salesman
Filters invoices assigned to the specified salesman. Click the button to display the 'Browse Employees' window to search for a specific employee.

 

Start Date
Specifies the start date and time to report data. Click the small down arrow to display a calendar. Click the desired date to select. Use the small left and right arrows to display previous/next months. Transactions created or submitted within the date range display. Enter a check mark in the field to report sales for a certain period. Displays all transactions, when unchecked. Defaults to current date.


Automatically populates with the appropriate date when a 'Calendar' or 'Fiscal' option is selected in the respective 'Select' field.


When saving as a profile, using the relative date option is recommended rather than selecting dates from the pop-up calendar. If the profile is saved with a fixed date range, then whenever the report is run using the saved profile, the report's output always contains the same information for that fixed date range only. If the profile is saved with a relative date range, the dates included are adjusted based on when the report is run. 

 

End Date
Specifies the end date and time to report data. Click the small down arrow to display a calendar. Click the desired date to select. Use the small left and right arrows to display previous/next months. Transactions created or submitted within the date range display. Enter a check mark in the field to report sales for a certain period. Displays all transactions, when unchecked. Defaults to current date.

Calendar
Uses Relative Calendar dates, when selected. Works in conjunction with the 'Start Date' and 'End Date' fields. 

 

Fiscal
Uses Relative Fiscal dates, when selected. Works in conjunction with the 'Start Date' and 'End Date' fields. 

 

Acct Class

Filters by Account Class.

 

No AR
Determines whether accounts with the 'Account Control' of 'No AR' are reported. 


Options are:

 

  • 'Exclude' - Reports all accounts except those with the 'Account Control' field set to 'No AR'. (Default)

  • 'Include' - Reports all accounts regardless whether the 'Account Control' field is set to 'No AR' or not.

  • 'Only' - Reports only accounts with the 'Account Control' field set to 'No AR'.

 

Unpaid COD
Determines whether accounts with unpaid COD invoices are reported.


Options are:

 

  • 'Exclude'

  • 'Include'

  • 'Only'

 

Deferred Billing
Determines whether accounts with deferred core are reported. 


Options are:

 

  • 'Include' - Reports transactions with core items for deferred core billing accounts with transactions for non-deferred core billing accounts. (Default)
  • 'Exclude' - Does not report invoices with core items for deferred core billing accounts and only transactions for non-deferred core billing accounts are reported.
  • 'Only' - Reports all invoices with core items for deferred core billing accounts without reporting transactions for non-deferred core billing accounts.


Age Period
Filters aging accounts, as selected.


Sort By
Sorts the report by 'Account' ('Number' or 'Code', based on the 'Use Account Codes' field on the AR Control Setup screen, 'Store Settings' tab), 'Age Store', 'Bill To City', 'State', 'Zip', 'Bill To Name', 'Group Plan', 'Report Group', 'Salesman', and 'Ship To' 'City', 'State', and 'Zip'.

 

Sort Order
Sorts the report in 'Ascending' or 'Descending' order.


Acct Control
Filters accounts by Account Control.


Options are:

 

  • 'All'

  • 'AR'

  • 'Master'

  • 'Linked'

  • 'No AR'


Group Plan
Filters accounts by Discount Group.


Acct Type
Filters accounts by a specific type.


Options are:

 

  • 'All'

  • 'Commercial'

  • 'Retail Main'

  • 'Partner'

  • 'Employee'


Store Use

Determines whether accounts with 'Account Type' of 'Store Use' are reported. 


Options are:

 

  • 'Exclude' (Default)

  • 'Include'

  • 'Only'   


Account Detail and Summary
Prints/previews aging period totals for all or selected AR accounts.


Store Detail and Summary
Prints/previews multi-store comparative aging period totals by store. 


When selected, automatically sets the:

 

  • 'Quick Reporting Option' to 'Full Aging'

  • 'Sell Store' field to 'All'

  • 'Age Period' field to 'All, Not currently Due'

  • 'Sort By' field to 'Age Store' (not editable)

  • 'Sort Order' field to 'Ascending' (not editable)


Summary
Print/preview A/R total for all or selected AR accounts.


Acct Balances

Drop-down that filters the report by the option of excluding accounts with zero balances.

 

  • 'Not Zero' - The report output will include all accounts that have a positive or negative balance due. Note: Excludes accounts with zero balances.

  • 'Zero Only' - The report output will include all accounts that have a zero balance due. Note: Excludes accounts with a positive or negative balance.

  • 'Positive Only' - The report output will include all accounts that have a positive balance due. Note: Excludes accounts with a zero or negative balance.

  • 'Negative Only' - The report output will include all accounts that have a negative balance due. Note: Excludes accounts with a zero or positive balance.


Include Criteria Page
Prints/previews a separate report page after the regular report of all criteria values defaulted or selected, when checked.

 

Pay Type
Filters accounts by a specific Pay Type. 


Options are:

 

  • 'All'

  • 'OI - Standard'

  • 'OI - Statement Pay'

  • 'Balance Forward'


Cash Accts
Determines whether commercial cash accounts prior to being changed to 'Pay Type' of 'Cash' are reported.


Options are:

 

  • 'Exclude' (Default)

  • 'Include'

  • 'Only'


Transfer
Determines whether accounts with 'Account Type' of 'Transfer' are reported. 


Options are:

 

  • 'Exclude' (Default)

  • 'Include'

  • 'Only'


Undo
Determines whether accounts with 'Undo' Invoices are reported. 


Options are:

 

  • 'Exclude'

  • 'Include' (Default)

  • 'Only' 

 

Show Unapplied
Reports the total amount of unapplied credits in the 'Credit Pending $' column of the report and does not reduce each period balance by the value of any unapplied credits that were created in the period, when checked.


Reports the total amount of unapplied credits in the 'Credit Pending $' column of the report and does reduce each period balance by the value of any unapplied credits that were created in the period, when unchecked.


Value defaults from the AR Control Setup screen.


Stop Over CR Limit
Reports accounts over the credit limit, when checked.


No Inv Past
Reports accounts that have no invoices past due, when checked.


Lockout
Reports accounts that are locked out, when checked.


Active Accounts Only
Reports active accounts only, when checked.


Use Historical Data
Reports data from previous closes, including invoices with system-generated Balance Credit (BC) and Balance Debit (BD) transactions that were automatically generated at End-of-Month, if applicable, when checked. When checked, an Age Date window displays to select the desired historical close date. 

 

An EOM (End-of-Month) historical period only includes accounts with an 'Age Code' of 'Monthly' with transactions in that period. The 'Age Code' must be set to 'All' or 'Weekly' to get results. The transactions reported are from the weekly snapshot taken at the end of that week.

 

An EOW (End-of-Week) historical period only includes accounts with an 'Age Code' of 'Weekly' with transactions in that period. The 'Age Code' must be set to 'All' or 'Monthly' to get results. The transactions reported are from the monthly snapshot taken on the close date of that month.

 

Since 'Weekly' and 'Monthly' accounts report separately, use the 'Payments By Date Report' on the AR Transaction Reports screen, to report all PC-Payment Credits, applied and unapplied, posted in the ROA ('Payments Received on Account') window and Post Entries screen for one, multiple, or all customer accounts within a specified date range.

 

The 'Start Date' and 'End Date' fields are not available. 

Aging Report

The following is an example of an 'Aging Report' detail printout (Account level).

 

When the report is sorted by 'Account' or 'Bill To Name', only a grand total displays. When the report is sorted by a sort type other than 'Account' or 'Bill To Name', like items are grouped together with subtotals for each group. A grand total displays after all the groups are subtotaled.

 

 

 
Account
Reports the account number and name. Report displays a grand total only.

Bill To Name
Reports the Bill To Name. Report displays a grand total only.

Telephone
Reports the location's telephone number.

Total Due $
Reports the total amount due.

Formula is, as follows:

If 'Show Unapplied' is checked, the amount equals the sum of 'Current $', '1-30', '31-60', '61-90', 'Over 90', 'Dating $', and 'Deferred $' minus 'Credit Pending'.
If 'Show Unapplied' is unchecked, the amount equals the sum of 'Current $', '1-30', '31-60', '61-90', 'Over 90', 'Dating $', and 'Deferred $'.

Current $
Reports the current dollar amount.

1 - 30
Reports a subtotal and/or grand total for the 1-30 age period. For the weekly report, displays a subtotal and/or grand total for the 1-7 age period.

31 - 60
Reports a subtotal and/or grand total for the 31-60 age period. For the weekly report, displays a subtotal and/or grand total for the 8-14 age period.

61 - 90
Reports a subtotal and/or grand total for the 61-90 age period. For the weekly report, displays a subtotal and/or grand total for the 15-21 age period.

Over 90
Reports a subtotal and/or grand total for the over 90 age period. For the weekly report, displays a subtotal and/or grand total for the over 21 age period.

Credit Pending $
Reports a subtotal and/or grand total for the credit pending amount.

Formula is as calculated by the 'Unap Credits' field on the Main Account Entry screen.

Dating $
Reports a subtotal and/or grand total for the dating amount.

Available Credit $
Reports the account's available credit amount.

Credit Limit $
Reports the account's credit limit amount.

Last Pay
Reports the date that the last payment was posted to the account.

Last Sold
Reports the date of the last sale.

Subtotal
Reports a subtotal of the individual store.

Grand Total
Reports the grand total of all the stores.

COD Unpaid
Reports the unpaid amount on COD invoices.

Summary Report

The following is an example of an 'Aging Report' summary page. A 'Summary' page displays after the detail on both the Account level and Store level report. The Summary page displays an 'Age Store' column unless an exact Age Store is requested.

 

 

 
Sell Store
Reports the posting code totals of the reported Sell Store.

Age Store
Reports the posting code totals of the reported Age Store.

[Posting Codes]
Reports the posting code of each total.

Note: 'Undo Debits' and 'Undo Credits' do not have a posting code.

Total $
Reports the total amount of items.

% Of Total
Reports the percentage of each period's balance in relation to the 'Total Due $'. Displays for the 'Current Monthly', '1-30', '31-60', '61-90', 'Over 90', 'Total Dating', and 'Total Deferred' rows, and 'Credit Pending', based on the 'Show Unapplied' flag.

The formula for the percentage of total $ is, as follows:

% of TOTAL $ = (TOTAL $ in period / TOTAL DUE $)  

# Of Accounts
Reports the quantity of accounts that make up the dollar amount in the 'Total $' column and each balance period.

Total Due $
Reports the total combined amount due.

Current
Reports the current total amount due.   

Monthly Aging
Reports the '1-30', '31-60', '61-90', and 'Over 90' aging buckets when the 'Monthly Aging' 'Quick Reporting Option' is selected.   

Weekly Aging 
Reports the '1-7', '8-14', '15-21', and 'Over 21' aging buckets when the 'Weekly Aging' 'Quick Reporting Option' is selected.   

Total Dating
Reports the total amount of the invoices being paid off over time.

Total Deferred
Reports the total deferred core.

If the 'Show Unapplied' flag is checked in the AR Control Setup screen, only the balance of the deferred debits is included. Typically, this would be the ID entries created in the application. However, due to the AR feed, this can also include deferred DM and XD entries.

If the 'Show Unapplied' flag is unchecked in the AR Control Setup screen, the balance of the deferred debits is included, along with the balance of unapplied deferred credits. Typically, this would only be ID and IC entries created in the application. However, due to the AR feed, this can also include deferred DM, CM, XD and XC entries.

Credit Pending
Reports the total amount of unapplied credits when the 'Show Unapplied' field is checked. Each period balance (aging bucket) is not reduced by the value of the unapplied credits that were created in the period.

Reports the total amount of unapplied credits when the 'Show Unapplied' field is unchecked. Each period balance (aging bucket) is reduced by the value of the unapplied credits that were created in the period.

Total Due $ Less Deferred
Reports the amount that subtracts the 'Deferred' amount from the 'Total Due $'.

COD Unpaid
Reports the total amount of unpaid COD invoices.

Reports the total amount of the invoices being paid off over time.

Indicates the percent amount of the preceding column against the 'Total Due $' column.

Monthly Subtotal
Reports the monthly subtotal of the columns at the store level.

Weekly Subtotal
Reports the weekly subtotal of the columns at the store level.

Grand Total
Reports the monthly and weekly grand total at the store level.

The following is an example of an 'Aging Report - Criteria Page' printout, which displays the report criteria and its default or selected values.

 

Procedure to Preview and Print Aging Report

To preview and print the 'Aging Report', follow the steps below:

 

  1. From the Menu, select Reports, Financial, Aging. The Aging Report screen displays.

  2. Select and enter the appropriate 'Report Criteria' to create the appropriate report. The related fields on the screen highlight and populate, as appropriate.

  3. Click 'Preview' to review the resulting report. A preview of the report displays.

  4. Click 'Print' to print the report. The printout is sent to the default printer.
