Cost Data Access Security Overview

Cost refers to Part Cost and Core Cost. GP% refers to all Profit and Margin fields. To ensure access by authorized users only, the ability to optionally allow/disallow access to Cost and GP% data throughout the application is controlled by Menu Tasks and security procs on the User Security Setup screen.

 

A User Security Menu Task allows/disallows access of 'Hidden', 'Grayed', and 'Enabled' ('View Only' or 'Allow Edit') of screens and windows.

 

  • 'Hidden' - The menu or go-to button that allows access to the screen or window is hidden.

  • 'Grayed' - The menu or go-to button that allows access to the screen or window displays but is grayed out so it cannot be accessed.

  • 'Enabled, View Only' / 'Enabled, Allow Edit' - The menu or go-to button is accessible and opens the screen or window.

 

Note: 'Enabled, View Only' uses the same functionality as 'Enabled, Allow Edit' for report screens.

 

A User Security Proc enables/disables access of 'Not Visible', 'View Only', and 'Allow Edit' of processes or data. 

 

  • 'Not Visible' - Cost and GP do not display on the screen or the report output.

  • 'View Only' / 'Allow Edit' - Cost and GP do display on the screen and is included in the report output.

 

Note: 'View Only' uses the same functionality as 'Allow Edit' for report screens.  

 

The User Security setups that allow/disallow the Cost and GP% values from displaying are, as follows:

Invoice Point of Sale screen

Invoice Cost on POS Screen

Proc in the User Security Setup screen in the 'Applied/Unapplied Restrictions' section, located under 'Invoicing', 'Invoicing Screen' Menu Tasks, allows/disallows display of the cost values and allows/disallows cost to be entered for parts with $0.00 cost on the Invoice Point of Sale screen. A value can be entered in the 'Cost' and 'Core Cost' fields for NIF (Not-In-File) parts and for parts from the store's part table or non-SKU table if a cost value does not exist (0.00 or blank), without a manager override, and regardless of the proc setting.

 

  • 'Not Visible' - 'Cost' field does not display on the Invoice Point of Sale screen.

  • 'View Only' / 'Allow Edit' - 'Cost' field displays on the Invoice Point of Sale screen and cost values display.

 

Invoice Cost Edit at POS

Proc in the User Security Setup screen in the 'Applied/Unapplied Restrictions' section, located under 'Invoicing', 'Invoicing Screen' Menu Tasks, allows/disallows the edit of the 'Cost' field in the Invoice and Sourcing modules. Regardless, 'Cost' can be entered for parts without 'Cost'.

 

  • 'Not Visible' - 'Cost' field does not display in the Sourcing screen, 'Edit Vendor Prices' window, and 'Price Edit' window   

  • 'View Only' - 'Cost' field displays but is grayed-out and unavailable in the Sourcing screen, 'Edit Vendor Prices' window, and 'Price Edit' window.

  • 'Allow Edit' - 'Cost' field displays and is editable in the Sourcing screen, 'Edit Vendor Prices' window, and 'Price Edit' window.

 

Invoice GP% on POS Screen

Proc in the User Security Setup screen in the 'Applied/Unapplied Restrictions' section, located under 'Invoicing', 'Invoicing Screen' Menu Tasks, allows/disallows display of the GP% values on the Invoice Point of Sale screen.

 

  • 'Not Visible' - 'GP%' field does not display on the Invoice Point of Sale screen.

  • 'View Only' / 'Allow Edit' - 'GP%' field displays and the GP% values display.

 

Invoice GP% Edit at POS

Proc in the User Security Setup screen in the 'Applied/Unapplied Restrictions' section, located under 'Invoicing', 'Invoicing Screen' Menu Tasks, allows/disallows the editing of the 'GP%' field in the Invoice and Sourcing modules. Regardless, 'Cost' can be entered for parts without 'Cost'

 

  • 'Not Visible' - 'GP%' field does not display in the 'Price Edit' window   

  • 'View Only' - 'GP%' field displays but is grayed-out and unavailable in the 'Price Edit' window.

  • 'Allow Edit' - 'GP%' field displays and is editable in the 'Price Edit' window.

 

All Prices Button

Proc in the User Security Setup screen in the 'Applied/Unapplied Restrictions' section, located under 'Invoicing', 'Invoicing Screen' Menu Tasks, allows/disallows display of the 'All Prices' button on the 'Price Lookup' window at Point-of-Sale.

 

  • 'Not Visible' - 'All Prices' button does not display. 

  • 'View Only' - 'All Prices' button displays but is grayed-out and unavailable.

  • 'Allow Edit' - 'All Prices' button displays and is editable.

 

Invoice Deny Price Edit Button

Proc in the User Security Setup screen in the 'Applied/Unapplied Restrictions' section, located under 'Invoicing', 'Invoicing Screen' Menu Tasks, allows/disallows display of the 'Price Edit' button which displays the 'Price Edit' window.

 

  • 'Not Visible' - 'Price Edit' button does not display. 

  • 'View Only' - 'Price Edit' button displays but is grayed-out and unavailable.

  • 'Allow Edit' - 'Price Edit' button displays and is editable.

Part Entry Screen

Inventory Deny Non-SKU Part Pricing

Proc in the User Security Setup screen in the 'Applied/Unapplied Restrictions' section, located under 'Inventory', 'Part Entry' Menu Task, allows/disallows display of the 'Price' fields in the Part Entry screen for the non-SKU parts.

 

  • 'Hidden' - 'Price' fields in the Part Entry screen for the non-SKU parts are not visible.

  • 'Grayed' - 'Price' fields in the Part Entry screen for the non-SKU parts display but are grayed out and unavailable.  

  • 'Enabled, Allow Edit' - 'Price' fields in the Part Entry for the non-SKU parts screen are available.

 

Inventory Deny Part Pricing

Part Pricing Deny Cost and GP%

Proc in the User Security Setup screen in the 'Applied/Unapplied Restrictions' section, located under 'Inventory', 'Part Entry' Menu Task, allows/disallows display of the 'Price' and 'GP%' fields in the Part Price Entry screen for non-SKU parts.

 

  • 'Hidden' - 'Price' and 'GP%' fields in the Part Price Entry screen for the non-SKU parts are not visible.

  • 'Grayed' - 'Price' and 'GP%' fields in the Part Price Entry screen for the non-SKU parts display but are grayed out and unavailable.

Order/Cost Screen

Menu Task in the 'Menu Tasks' section, located under 'Inventory/Part Entry/Order Cost', allows/disallows access to the Order/Cost screen.

  • 'Hidden' - Order/Cost menu button under the Part Entry menu is not visible.  

  • 'Grayed' - Order/Cost menu button under the Part Entry menu displays but is grayed out and unavailable.  

  • 'Enabled, Allow Edit' - Order/Cost menu button under the Part Entry menu is available.

Purchasing Screens and Reports

PO Cost Totals

 

Proc in the User Security Setup screen in the 'Applied/Unapplied Restrictions' section, located under 'Purchasing' Menu Task, allows/disallows the output of purchasing cost totals.

 

  • 'Not Visible' - PO and Return PO totals do not display for the following screens and reports:

    • Purchase Order screen: 'Total Cost'

Proc in the User Security Setup screen in the 'Applied'/'Unapplied Restrictions' section, located under Purchasing, 'Purchasing Main Menu' Menu Task, allows/disallows display and edit of the cost fields in the Purchase Order screen.

 

Note: When any of the cost fields are selected, such as 'Ext Cost', 'Tot Cost', 'Tot Core', 'Price 5-7', 'Cur Cost', 'Avg Cost', 'Last Cost', 'Vndr Cost 1-4', and 'Core Cost', for display or edit from the Purchase Order Edit Layout Setup screen, the columns display but the cost values do not.

 

  • 'Not Visible' -  The cost level fields 'Ext Cost', 'Tot Cost', 'Tot Core', 'Price 5-7', 'Cur Cost', 'Avg Cost', 'Last Cost', 'Vndr Cost 1-4', and 'Core Cost' do not display.

  • The 'Unit Cost', 'Core Cost', 'Ext Cost' on the Return Pick List does not display.

  • The 'Exclude Prices' flag in the PO Reports window defaults to checked and is unavailable so cost detail does not output for the following report fields:

    • PO History Report: 'Cost', 'Core', 'Extended'

    • PO Report: 'Price Each', 'Core Each', 'Total'

    • Return History Report: 'Cost', 'Core', 'Extended'

AR Transactions Report Screen

  • 'Not Visible' - The 'Export' button in the Line Sales Report screen does not display.

  • 'View Only' - The 'Export' button in the Line Sales Report screen displays but is not editable.

  • 'Enabled, Allow Edit' - The 'Export' button in the Line Sales Report screen displays and is editable.

Reports - Inventory

The 'Cost / GP% On Inventory Reports' proc allows/disallows 'Display', 'Print', 'Preview', and 'Export' of Cost and GP% values across a number of inventory reports.

 

The following reports are controlled by the 'Cost / GP% On Inventory Reports' proc on the User Security Setup screen in the 'Applied/Unapplied Restrictions' section under the 'Inventory, Reports' Menu Tasks.

 

Inventory Count Report

 

  • 'Not Visible' - 'Current Cost' detail does not display.

  • 'View Only'/'Allow Edit' - 'Current Cost' detail does display.

 

Inventory Information Report, Historic Inventory Information Report, Negative Stock Report

 

  • 'Not Visible' - Allows selection of Price Levels 1-4 and 15 only from the 'Report Pricing' field. Allows output of Price Levels 1-4 and 15 if saved in the selected profile. If any other price level has been selected, it will not be output for the selected profile.

  • 'View Only'/'Allow Edit' - Allows selection of all 16 Price levels from the 'Report Pricing' field. Allows output of all 17 Price Levels as saved in the selected profile.

 

Inventory Cost Report and Reserve Cost Report

 

  • 'Not Visible' - Allows selection of 'Grand & Subtotals' and 'Grand Total Only'. Does not allow selection of 'Details & Totals'. Saved profiles with the 'Details & Totals' flag checked cannot be selected. The system prompts "Permission to Access this Profile is denied." 'OK' closes the prompt and returns to the report screen without selecting the profile. 

  • 'View Only'/'Allow Edit' - Allows selection of 'Details & Totals' and 'Grand & Subtotals' and 'Grand Total Only'. Saved profiles with the 'Details & Totals' flag checked can be selected.

 

Lost Sales Report

 

  • 'Not Visible' - Does not display a value in the 'Cost$' or the 'Sell$' fields or displays the 'Grand Total' of these two fields.

  • 'View Only'/'Allow Edit' - Displays a value in the 'Cost$' and the 'Sell$' fields and displays the 'Grand Total' of these two fields.

 

LISA Transactions Report

 

  • 'Not Visible - Print, Preview & Export' - Does not displays a value in the 'Sell Price$', 'Core Price$', 'Ext Price $' or the 'GP%' fields; or in the totals of these fields. Does not output 'Sell Price$', 'Core Price$', 'Ext Price $', 'Part Cost', 'Core Cost' 'Adjusted Cost' or the 'Profit', 'GPM%', or 'POS GPM%' fields, 'Print Preview' and 'Export' if saved in the selected profile.

  • 'Not Visible - Display' – Does not display a value in the 'Sell Price$', 'Core$', 'Ext Price $', 'Part Cost, 'Core Cost', or the 'GP%' fields.

  • 'View Only / Allow Edit' - Displays all cost and sell and 'GP%' values for the 'Display', 'Print', 'Preview', and 'Export' output.

 

Return Credits Report (PATI) -  Return Credits

 

  • 'Not Visible' - Does not display values in the 'Part Cost$', 'Core Cost$', 'Ext Cost$' and 'Credit Amt$' detail and totals.

  • 'View Only' / 'Allow Edit' - Displays values in the 'Part Cost$', 'Core Cost$', 'Ext Cost$' and 'Credit Amt$' detail and totals.

 

PN Code Report - PN Code Summary Report

Invoice Journal Reports - All reports except Counterman Totals, Tax Journal, and Daily Tax Details

 

  • 'Not Visible' - 'Exclude Detail' field is grayed out and defaults to checked. Invoice Journal Report is not produced for all accounts including Transfer and Store Use. Invoice Journal Summary page displays all Cost and GP totals. Saved profiles with the 'Exclude Detail' flag unchecked cannot be selected. The system prompts "Permission to Access this Profile is denied." 'OK' closes the prompt and returns the user to the report screen without selecting the profile. Counterman Totals: Does not display values in the 'Cost$', 'Core Cost$' and 'Profit$' and 'Margin %' fields or the Subtotals and Grand Totals of these fields for all accounts including Transfer and Store Use. End of Day Reports: Print the full Invoice Journal Summary Report and the Invoice Journal Detail Report is not generated.   

  • 'View Only' / 'Allow Edit' - Displays Detail and Summary Invoice Journal. Displays 'Cost$', 'Core Cost$' and 'Profit$' and 'Margin %' fields for the Counterman Totals Report, whether run manually or as part of the end-of-day reporting. Saved profiles with the 'Exclude Detail' flag unchecked can be selected.

 

Invoice Journal - Counterman Totals

 

  • 'Not Visible' - Does not display values in the 'Cost$', 'Core Cost$', and 'Profit$' and 'Margin %' fields or the 'Subtotals' and 'Grand Totals' of these fields if saved in the selected profile.  

  • 'View Only' / 'Allow Edit' - Displays all cost and 'GP' / 'Profit' values and the 'Subtotals' and 'GRand Totals' of these fields.

  • 'Not Visible' - 'Ex Profit and Margin %' field is grayed out and defaults to checked so that the 'Profit Mfg' fields for the Periods Selected or Year To Date are not reported.

  • 'View Only' / 'Allow Edit' - Allows selection in the 'Ex Profit and Margin %' field and reports the 'Profit Mfg' fields for the Periods Selected or the Year To Date.

 

Account Sales By Line Report

 

  • 'Not Visible' - Does not display values in the 'Profit$' and 'Mgn%' fields for the Current and Previous Periods for the details or totals. Does not display the values in the 'Profit$' and 'Mgn%' for the Current and Previous Periods for the detail or totals of these fields if saved in the selected profile. 

  • 'View Only' / 'Allow Edit' - Displays values in the 'Profit%' and 'Mgn%' fields for the Current and Previous Periods for the details or totals. Displays values in the 'Profit$' and 'Mgn%' for the Current and Previous Periods for the detail and totals.

Part Ledger Report Screen

Cost / GP% on Part Ledger

Proc in the User Security Setup screen in the 'Applied/Unapplied Restrictions' section, located under 'Utility Options, Part Ledger Report' Menu Tasks, allows/disallows display of 'Price' values in the print, preview, display, and export output.

 

  • 'Not Visible' - Does not display a value in the 'Price' field, regardless of the 'Changed By' field value from the selected saved profile.

  • 'View Only' - Displays values in the 'Price' or 'Sell Price' field for all 'Changed By' values.

  • 'Allow Edit' - Displays values in the 'Price' or 'Sell Price' field for all 'Changed By' values.

LISA Transactions, Part Ledger, and Invoice Point of Sale screens

Order/Cost

Menu Task in the User Security Setup screen in the Menu Tasks section, located under 'Inventory, Part Entry, Order Cost', allows/disallows the right-click option to go to Order/Cost screen from the LISA Transactions Report, Part Ledger, and Invoice Point of Sale screens.

 

  • 'Hidden' - Ability to right-click to go to the Order/Cost screen does not display. The same way the Order/Cost screen cannot be opened from the Menu.

  • 'Grayed' - Ability to right-click to go to the Order/Cost screen displays but is grayed out and unavailable. The same way the Order/Cost screen cannot be opened from the Menu.  

  • 'Enabled, Allow Edit' - Ability to right-click to go to the Order/Cost screen is available the same was it opens from the Menu.

Part Entry, Order/Cost, Purchase Order, and Return Order Screens

  • 'Not Visible' - 'Min', 'Max', and 'Order Point' field values in the Part Entry and Order/Cost screens and the Purchase Order and Return Order screens and 'Write-In PO Form' window do not display.

  • 'View Only' - 'Min', 'Max', and 'Order Point' field values in the Part Entry and Order/Cost screens and the Purchase Order and Return Order screens and 'Write-In PO Form' window display but are grayed-out and unavailable.

  • 'Allow Edit' - 'Min', 'Max', and 'Order Point' field values in the Part Entry and Order/Cost screens and the Purchase Order and Return Order screens and 'Write-In PO Form' window display and are available for updates for NIF parts.
