Quick Sourcing - Enabled

With the 'USE QUICK SOURCING' setting enabled, the 'INSUFFICIENT QUANTITY - SOURCING' window opens each time a part is added to the sell line with insufficient sell quantity.

 

 

 
- If the part is stocked, clicking the 'SELL' button opens the 'INSUFFICIENT QUANTITY - SOURCING' window.
- If the part is non-stocked (NIF) and NIF parts can be sold, clicking the 'SELL' button opens the 'PRICE EDIT' window and closing the 'PRICE EDIT' window opens the 'INSUFFICIENT QUANTITY - SOURCING' window.



The available quantity ('AVAIL QTY'), sell quantity ('SELL QTY'), quantity currently available ('SHELF QTY'), and the needed quantity ('NEED QTY') display. The 'SELL QTY' can be edited to increase or decrease the quantity being sold and the 'SHELF QTY' is editable in case an available quantity is found.

The upper 'MESSAGE' field is updated by the PartsWatch system to provide information about the part being sourced.



For example, if the part on the sell line is not found in the store's parts table or the nonSKU table (if one is used), then the following message displays:

If the part is reserved on another ticket:



If the part is superseded by <Line Code> <Part Number> ('AVAIL QTY' = <AVL QTY>):



 

Select a sourcing rule from the 'DISPLAY RULE' field to filter the sources if different than the default.

 

 
- 'SOURCES WITH STOCK' - Displays only sources with stock.
- 'SOURCES INCLUDING 0 STOCK' - Displays all sources regardless whether they have stock or not.
- 'SOURCES WITH NEED QTY' - Compares the stock available of each source with the 'NEED QTY' and only displays sources where the stock available is equal to or greater than the 'NEED QTY'.

 

Click 'OVERSELL' to allow stock quantity to go negative without sourcing the part. The part is added to the invoice body with the 'S' SELL modifier, the stock quantity is adjusted (for example, from '0' to '-1') when the ticket is finalized.

 

 
For In-Warehouse stores only:

- The label of the 'OVERSELL' button displays 'WAREHOUSE SALE'
- The 'SELL FROM STORE' button displays below the 'WAREHOUSE SALE' button. If the 'NEED QTY' is zero, then focus is on the 'SELL FROM STORE' button, otherwise, focus is on the 'WAREHOUSE SALE' button.

 

If the 'BKORD / LOST SALE BUTTON AT POS' setting is enabled, then either a 'LOST SALE' or a 'BKORD' button will display. If clicked, the insufficient quantity will be tracked as a Lost Sale or a Back Order, depending on the customer 'SAVE BACK ORDERS' setting.

 

 
- If checked, then the 'BKORD' button will display and clicking it will record a backorder for the customer.
- If unchecked, then the 'LOST SALE' button will display and clicking it will record a lost sale for the part.

The 'BKORD/LOST SALES BUTTON' User Security Proc controls whether or not the button is available.

If the 'BKORD/LOST SALE BUTTON AT POS' setting is disabled, the button does not display.

The order grid displays each sources available quantity ('AVL QTY'), 'NAME', 'CITY', and 'STATE', any 'SHIPPING INFO' and shipping and handling charges ('S&H') set up for the source as well as the 'PART COST' and 'CORE COST'.

Any information returned by the source displays in the 'MESSAGE' column per source.

For example:

- If a supersede part is returned in the source’s stock inquiry response, then a message will be displayed in the source 'MESSAGE' column about the supersede.
- If the source is within the same database (e.g., DC, Hub, or Sister Store) or another PW database, and the requested part has a supersede part in the source’s inventory, the 'AVL QTY' displays for the requested part in the sourcing grid for that source, and the source 'MESSAGE' displays “Superseded by <Source Line Code> <Part Number> (AVL QTY = <AVL QTY>)”.

Click a message in the 'MESSAGE' column to display the full message.



The first three columns are locked so that the 'ORD QTY', 'AVL QTY', and 'SOURCE NAME' display with the 'MESSAGE'. Messages are for information only and may report:

- "Part not found."
- "Obsolete"
- "Special order/back-order"
- "Part is not currently for sale"
- "Superseded by..."

Using the horizontal scroll bar, scroll to the right to see a ‘RESPONSE TIME’ column displaying (in seconds) the total time of the “round-trip” it took to send the stock inquiry request to the source and to receive back a stock inquiry response from the source. The response time reports only those sources outside the database and is blank for all sources within the database including sister stores.

Multi-Store / Sister Store Sale

Sister Store Sale functionality enables one store to easily “spin off” items requested by a customer onto sales order(s) in one or more other stores when the items are not available in the current store. This is different from sourcing in that the items are being sold directly out of the other stores, and the stock is not being delivered into the current store.

 

 
If the 'SISTER STORE SALE' control is enabled, the ‘SS’ Sister Store modifier is available to force the 'INSUFFICIENT QUANTITY – SOURCING' window to open for parts that have insufficient sell quantity.

A 'SS' (Sister Store Selling) checkbox column displays in the 'INSUFFICIENT QUANTITY – SOURCING' window and provides the Sister Store Selling functionality.

If the control is set to:

- 'NEVER', then the functionality is not available.
- 'BY DEFAULT', the 'SS' checkbox defaults to checked on the 'INSUFFICIENT QUANTITY – SOURCING' (Quick Sourcing) window for stores that rarely or never use sourcing.
- 'OPTIONAL', the 'SS' checkbox in the 'INSUFFICIENT QUANTITY – SOURCING' (Quick Sourcing) window defaults to unchecked for stores that more often source item.

When parts are sourced from a sister store, the invoice modifier changes to 'SS' for the items.

The last invoice grid column is named 'SS' and displays the sister store the part was ordered from.

The price in the store is based on that store’s pricing rules and can be edited before being generated as a sales order in the sister store.
When a sales order that contains sister store items is printed in the store, the items being sold out of the sister store(s) are removed from the originating store’s Pick and are added to a system-generated Pick for each sister store where the parts are being sourced from. Only items sold out of the originating store are included in the totals.

Once the button is clicked to finalize the invoice, any items with the 'SS' modifier are removed from the invoice total.

For tendered transactions, the tender pop-up only reflects the amount due for the items being sold from the current store’s stock.

If the tender pop-up is canceled before finalizing the sales order as an invoice in the originating store, the 'SS' modifier items are added back into the detail grid and into the invoice total and are not yet added to a sister store sales order.

On the printed invoice in the originating store, a line item note prints for each item sold out of a sister store with the Line, Part, and Sister Store location.

If a Quote containing items being sold from a sister store is printed before a Pick is printed, ‘SS Sister Store Sale’ prints on the quote.

If a Quote containing items being sold from a sister store is printed after a Pick is printed (items have already been added to the sister store Pick, then the note has the Line, Part, and Sister Store location.

A sales order is created in each sister store that will get printed as a pick by the BG processor with all sourced items from the order.

The seller ID from the originating store is tracked as the seller.

- If a seller in the sister store adds a new item, then that seller will be tracked for that item.
- If a seller in the sister store edits the quantity or price fields on an item that came from the originating store, then that seller is tracked for that item.

Unlike pricing, tax rules are NOT carried over from the originating store to the sister store. The price quoted on the initial sales order in the originating store reflects the tax rules of the originating store. Once the invoice is split out into sister store(s), it will follow the sister stores’ rules for taxes and fees. This means the total invoice price may be different on the final invoice in the sister store.

Any taxability edits that were done in the originating store will be lost when the invoice is split out into the sister store. 

 

If the sources in the grid do not have the required quantities, click the 'DCS' or 'OTHER SOURCES' buttons to display additional sources as set up on the STORE SOURCE SETUP screen. The system will check stock before displaying additional sources.

 

 

Enter the order quantity in the 'ORD QTY' field for one or more sources to place the order with and click the 'ACCEPT SOURCE' button.

 

 
If the source does not have ample quantity for the order, a pop-up will open asking how to proceed.



- Click 'EDIT ORDER QTY' to return to the 'INSUFFICIENT QUANTITY – SOURCING' window to change the quantity ordered.
- Click the 'ORDER ANYWAY' button to continue ordering the quantity from the selected source or sources.

Click the 'EDIT SHIPPING' button to add or edit the 'SHIP METHOD' and to select the 'SHIPPER #' as set up on the STORE SOURCE SETUP screen.





Optionally add 'SHIPPING & HANDLING' charges and enter a 'VENDOR NOTE' to track with the order.

When finished, click the 'ACCEPT SOURCE' button to close the window and return to the INVOICE screen with the part ordered.

Click 'SOURCE LATER' to close the pop-up and continue adding parts to the ticket. When ready, click the 'SOURCE-IT' button to open the ADVANCED SOURCING screen to order multiple parts, or right-click on a part row and select 'Quick Sourcing' from the right click menu to source that part.

Click the 'ADVANCED SOURCING' button to open the ADVANCED SOURCING screen.
