Inventory Count Report

The Inventory Count Report screen is used to generate the Inventory Count Report.

 

Use the report as a worksheet to enter the actual shelf quantity for a manual inventory count. Run the report for all known lines, a range of lines, a specific line code or a range of parts within one line code.

Report Criteria

Location
Filters by the selected store location. Click the button to display the 'Browse Locations' window to search available store locations.


Line Code
Filters by the selected line code. Click the button to display the 'Browse Line Codes' window to search for a specific line code. If more than one line code is selected, the text 'Multiple' displays in the field.


Note: If a value has been entered for 'Start Line Code' or 'End Line Code', it is not possible to enter a value for this field.


PN Code
Filters by a predefined P/N Code per Line Code. Click the button to search for a specific P/N Code per Line Code.


Start Line Code/End Line Code
Specifies the Start Line Code and End Line Code to report data by a range of line codes. Click the 'Start Line Code'/'End Line Code' lookup button to display the 'Browse Line Codes' window to search for a specific line code.


Start Part No/End Part No
Specifies the Start Part Number and the End Part Number to report data for a range of part numbers within a specific line. Click the 'Start Part No' or 'End Part No' lookup button to display the 'Find Part' window to search for a specific part number.


When the 'Customer Lookup Stripped Match' flag is checked in the System General Setup screen, only letters and numbers are searched; spaces, special characters and punctuation are "stripped-out" of the search and ignored.


Note: If a value has already been entered for 'Line Code', it is not possible to enter a value for these fields.


Line Type
Filters by a line type, as set in the 'Type' field in the Line Code Entry screen. 


Click the button to display the 'Line Types' pop-up used to select specific line type(s). 


Options are:

 

  • 'Freight'

  • 'Gift Cards'

  • 'Labor'

  • 'Parts'


Include any 'Line Type' by checking the box(es). Check the checkbox in the header to report all line types. Uncheck the checkbox in the header to deselect all line types.


When all are checked, ALL displays in the 'Line Type' field. 


When more than one but less than all types are checked, 'Multiple' displays in the 'Line Type' field. 


When only a single line type is checked, that type displays in the 'Line Type' field.


Note: Reports both gift cards and merchandise cards when 'Gift Cards' is selected.


Zone/Bin
Filters by a location of parts or a location of parts within a zone.


It is possible to enter an unlimited number of 'Zone'/'Bin' combinations. It is also possible to enter some 'Zones' with 'Bins' and other 'Zones' without 'Bins' in the same list. It is also possible to enter a 'Bin' without any 'Zone'. It is not possible to enter the same 'Bin' without 'Zones'. It is also not possible to enter the same 'Zone' with and without 'Bins'. If more than one Zone/Bin are selected, the text 'Multiple' displays in the field.


DCPop
Filters by a Distribution Center (DC) Popularity (POP) Code.


Line Class
Filters by a Line Class code.


Sales Class
Filters by a Sales Class code.  


User Class
Filters by a User Class code.


PN Group

Filters by a Part Number Group code.


Sub Type
Filters by a part, such as Tire or Battery, for warranty and prorating purposes.


Department
Filters by a Department code.


Category
Filters by a Category code.


Prdt Code
Filters by a Product Code.


Rpt Group
Filters by a Report Group code.


Order Type
Filters by an Order Type.

 

Non-Stocked
Determines whether non-stocked parts are reported.


Options are:

 

  • 'Include' - Reports sales and inventory values for non-stocked parts and stocked parts.

  • 'Exclude' - Does not report sales and inventory values for non-stocked parts.

  • 'Only' - Only reports sales and inventory values for non-stocked parts.


Stocked
Filters by the number of units of the part that are currently available in inventory to be sold, when 'Yes'.


Active
Filters by the defined parts that are not inactive, when 'Yes'. Inactive parts have no min/max, no stock quantity, no current or year-to-date history.


Real
Filters by any part that is sold to a customer, when 'Yes'. Items such as freight, labor, office or cleaning supplies are examples of parts that are not real.

 
Restricted
Filters by parts, such as paint, chemical or Freon, that are restricted, when 'Yes'.


Store Use?
Filters by if the part is for store use, when 'Yes'.


Display Item?
Filters by a part that has a value established in the 'Display Label Qty' field in the Main Part Entry, when 'Yes'.  

 

Print Description 1
Prints Description 1 on the report.


Print Description 2
Prints Description 2 on the report.


Print Quantity

Drop-down field that allows selection of the quantity to report.


Selections are:

 


Print Cost
When checked, the report outputs the cost value on the 'Inventory Count Report'.


When unchecked, the report does not output the cost value on the 'Inventory Count Report'.


Print Spacing
When the field is set to 'Single', the report is output with single spaces between the lines.


When the field is set to 'Double', the report is output with double spaces between the lines.


Print Stocking Level
When selected, prints either 'Min', 'Max', 'Min/Max', 'Order Point', or 'Min/Order Point'.


Print Zone/Bin
When selected, prints the 'Zone'/'Bin' value for each part.


Sort By
Drop-down that sorts the output of the 'Inventory Count Report' with the following options:

 

  • 'Lin /Part' - Sorts the data by line and part.

  • 'Zone/Bin' - Sorts the data by zone and bin.


Sort Order
Drop-down that determines what order the data is sorted in based on the selection of the 'Sort By' field. Options are:

 

  • 'Ascending'

  • 'Descending'

 

Bold Spacing
When checked, prints a darker, bolder line between parts for more space.


When unchecked, prints a regular spacing line between parts.


Cover Page
Checkbox that determines when a cover page is printed with the 'Inventory Count Report'.

 

  • Checked (default) - Prints a cover page with the 'Inventory Count Report'.

  • Unchecked - Does not print the cover page with the 'Inventory Count Report'.


Note: Can be saved and loaded through the 'Profile' button.


Save Worksheet
When the 'Save Worksheet' button is clicked, the application displays a prompt with the text "The output from this report will be saved as an available Worksheet on the Inventory Count Adjustment screen. Do you want to continue?" with 'Yes' and 'No' buttons.

 

  • Click 'No' and the application returns to the screen (without saving any output).

  • Click 'Yes' and the application closes the prompt and attempts to save the report output:

    • If the save attempt fails, the application displays a prompt pop-up with the text "Save worksheet failed. Please retry saving again, or contact Customer Support.", and an 'Ok' button. When the 'Ok' button, the application returns to the screen.

    • If the save attempt succeeds, display a prompt pop-up with the text "Save worksheet succeeded.", and an 'Ok' button. When the 'Ok' button, the application returns to the screen.


Note: Do not allow the saving of a worksheet if there are no lines entered in the 'Start Line Code', 'End Line Code', and 'Line Code' search button textboxes. It is not possible to save a count with no lines. At least one line code must be entered to save a worksheet.


Advanced Criteria
Displays the 'Inventory Report Overrides' window used to set override defaults for the inventory report.
