Inventory Information Report

The INVENTORY INFORMATION REPORTS screen is used to generate the Inventory Information Report, Inventory Data Report, Parts On Open Documents Report, Negative Stock Report, and Forecast Info Report, which are designed for reporting data in the part record, such as stock quantity, minimum, maximum, and order point and parts on open purchase orders and open sales orders.

Quick Reporting Options

Select the desired report.

 

INVENTORY INFO REPORT

Click to generate a report that identifies part numbers, descriptions, total stock quantity available, current cost and rolling history for a single store or multiple stores.


INVENTORY DATA REPORT
Click to generate a report that identifies part record fields that are used for invoicing or purchasing, such as the Create Date, Last Sold, Zone, Aisle, and Min Sell.


PARTS ON OPEN DOCUMENTS REPORT
Click to generate a report that identifies parts on open purchase orders and open sales orders. 


Many filters are available on this report including 'PN GROUP'. A 'PN GROUP' can be established for a part, and a 'PN GROUP RULES' table can be set up for that 'PN GROUP' to establish certain selling rules. For example, a 'PN GROUP' called "DISABLED" can be set up, with 'ALLOW SALE' set to unchecked in the 'PN GROUP RULES' table(s) to prevent the sale of disabled products. Then, the 'PARTS ON OPEN DOCUMENTS REPORTS' can be used to generate a report that identifies disabled products on open purchase orders and open sales orders by entering "DISABLED" in the 'PN GROUP' filter. The generated report can then be used to inform which documents need to be manually cleaned up by removing the disabled products from the document and adding the replacement product, if needed.


NEGATIVE STOCK REPORT
Click to generate a report that identifies the parts with a negative stock quantity.


FORECAST INFO REPORT


REPORT GENERATOR
Displays the 'SELECT COLUMNS' window, when clicked, used to select available fields to generate a custom 'INVENTORY INFORMATION REPORT'.

Report Criteria

The following fields are used to filter the report by the selected fields and values to limit the data output.

 

START LINE CODE/END LINE CODE

Narrows the report output for a single or a range of Line Codes.    

 

If the 'LINE CODE' filters are blank to report all lines, and the 'PREVIEW' or 'PRINT' button is clicked, the system will prompt to continue, since the report will take extended time to run. 

 

 

Click the 'START/END LINE CODE' lookup button to display the 'BROWSE LINE CODES' window to search for a specific line code.

 

START PART NO/END PART NO
Specifies the Start Part Number and the End Part Number to report data by a range of part numbers within a specific line. Click the 'START/END PART NO' lookup button to display the 'FIND PART' window to search for a specific part number. The field is only available when a single line is selected.

 

PN CODE
Filters by a PN Code. Click the button to display the 'BROWSE P/N CODES' window to search for a specific P/N Code per line code.


LOCATION
Filters by the selected store location(s). Click the button to display the 'BROWSE LOCATIONS' window to search available store location, with User Security permission. When a single store location is selected, the single store version of the report is generated. When two or more store locations are selected, the multi-store version of the report is generated.


DCPOP
Filters by a Distribution Center (DC) Popularity (POP) Code.


LINE CLASS
Filters by a line class code.


SALES CLASS
Filters by a Sales Class code.


USER CLASS
Filters by a User Class code, as set in the MAIN PART ENTRY screen.


PN GROUP
Filters by a Part Number Group code.


LINE TYPE

Filters by a line type, as set in the 'TYPE' field in the LINE CODE ENTRY screen.

 

 

Click the button to display the 'LINE TYPES' pop-up used to select specific line type(s). 

 

Options are:

 

  • 'FREIGHT'
  • 'GIFT CARDS'
  • 'LABOR'
  • 'PARTS'

 

Include any Line Type by checking the box(es). Check the checkbox in the header to report all line types. Uncheck the checkbox in the header to deselect all line types.

 

  • When all are checked, 'ALL' displays in the 'LINE TYPE' field. 
  • When more than one but fewer than all types are checked, 'MULTIPLE' displays in the 'LINE TYPE' field. 
  • When only a single line type is checked, that type displays in the 'LINE TYPE' field.

 

Note: The application reports both gift cards and merchandise cards when 'GIFT CARDS' is selected.

 

DEPARTMENT
Filters by a Department code.


CATEGORY
Filters by a Category code, as set on the MAIN PART ENTRY screen.


PRDT CODE
Filters by a Product Code, as set on the MAIN PART ENTRY screen.


REPORT GRP
Filters by a Report Group code.


ORDER TYPE
Filters by a Order Type.

 

SUBTYPE
Filters by parts for warranty and prorating purposes.


Options are:

 

  • 'NONE'
  • 'TIRE'
  • 'BATT' (Battery)


NON-STOCKED
Determines whether non-stocked parts are reported.


Options are:

 

  • 'INCLUDE' - Reports sales and inventory values for non-stocked parts and stocked parts.
  • 'EXCLUDE' - Does not report sales and inventory values for non-stocked parts.
  • 'ONLY' - Only reports sales and inventory values for non-stocked parts.

 

DATE LAST SOLD
Filters by the specified date that the part was last sold. Only parts with a last sold date of less than or equal to the date are reported.


STOCKED
Filters by the number of units of the part that are currently available in inventory to be sold, when 'YES' is selected.


REAL
Filters by any part that is sold to a customer, when 'YES' is selected. Items such as freight, labor, office, or cleaning supplies are examples of parts that are not real.  


ACTIVE
Filters by the parts that are not inactive, when 'YES' is selected. Inactive parts have no min/max, no stock quantity, and no current or year-to-date history.


RESTRICTED
Filters by parts, such as paint, chemical, or Freon, that are restricted, when 'YES' is selected. If restricted, when the part is purchased at Point-of-Sale, a window displays to verify information about the buyer, such as driver's license number, date of birth, or state ID number, prior to the sale.


STORE USE?
Filters by store use items only, when 'YES' is selected.

 

STORE DO NOT RETURN
Filters parts by the 'STORE DO NOT RETURN' flag in the MAIN PART ENTRY screen.


Options are:

 

  • 'YES' - Reports parts with the flag checked.
  • 'NO' - Reports parts with the flag unchecked.
  • 'ALL' - Reports all parts regardless of the value of the field. (Default)

 

VENDOR DO NOT RETURN
Filters part by the 'VENDOR DO NOT RETURN' flag in the MAIN PART ENTRY screen.


Options are:

 

  • 'YES' - Reports parts with the flag checked.
  • 'NO' - Reports parts with the flag unchecked.
  • 'ALL' - Reports all parts regardless of the value of the field. (Default)

 

REPORT PRICING

Filters by a pricing type. Defaults to the selection made in the 'REPORT PRICING DEFAULT' field in the SYSTEM GENERAL SETUP screen.

 

Options are:

 

  • 'PRICE 1-7'
  • 'CUR COST'
  • 'AVG COST'
  • 'LAST COST'
  • 'VNDR COST 1-4'
  • 'CORE SELL'
  • 'CORE COST'
  • 'CORE AVG COST'

 

REPORT SUBTOTALS
Determines whether subtotals are reported.

 

Options are:

 

  • 'INCLUDE'
  • 'EXCLUDE'

 

WRAP DESCRIPTION

Checkbox that determines whether or not the description is cut off or word-wrapped through the report.

 

Checked - The full 255-character description will be output in the allotted 'DESCRIPTION' field width.

Unchecked (default) - The description will not wrap, and only the number of characters within the allotted width will display.

 

Note: Only available for the Inventory Info Report and the Report Generator.

NON NUMERIC SALES CLASS CODES ONLY

 

CHANGEOVER PARTS ONLY

Includes only parts whose 'VENDOR CHANGEOVER' flag is checked in the PART HISTORY screen. Note that this flag is not editable via GUI screens and can only be updated via a feed. The 'CHANGEOVER PARTS ONLY' flag is available only when 'PARTS ON OPEN DOCUMENTS REPORT' is selected.

Report Generator

Click the 'REPORT GENERATOR button' to display the 'SELECT COLUMNS' window used to select fields to be reported. The 'SELECT COLUMNS' window consists of two sections: 'AVAILABLE COLUMNS' and 'SELECTED COLUMNS'. The 'AVAILABLE COLUMNS' section shows all fields not currently selected and displayed in 'SELECTED COLUMNS' section. The 'SELECTED COLUMNS' section shows all fields that have been selected and moved from the 'AVAILABLE COLUMNS' section.

 

If a profile was saved /loaded in the INVENTORY INFORMATION REPORTS screen, the selected fields for that profile are checked. If a profile was not loaded, the window displays with the default fields checked.   

 

 

CATEGORY
Click the field to narrow the attributes displayed in the window by:

  •  
  • 'ALL'
  • 'PART'
  • 'PART HISTORIES'

 

To select fields for reporting:

 

  • Check each field in the 'AVAILABLE COLUMNS' section and click the small center '>' arrow to move the checked fields into the 'SELECTED COLUMNS' section.
  • Click the '<' arrow to move the fields back to the 'AVAILABLE COLUMNS' section. 
  • Click the '>>' arrows to move all fields to the 'SELECTED COLUMNS' section.
  • Click the '<<' to move all fields back to the 'AVAILABLE COLUMNS' section. 
  • Check or uncheck the checkbox at the top of either section to select/deselect all rows.

 

Click the 'UP'/'DOWN' buttons to order the fields as needed.

Procedure to Select and/or Reorder Columns

  
To select and/or reorder columns to reflect the order they will display on the report, follow the steps below:

1. From the Menu, select Reports, Inventory, Inventory Info. The INVENTORY INFORMATION REPORT screen displays.
2. Select 'INVENTORY INFO REPORT' from the 'Quick Reporting Options' section and desired the 'Report Criteria'.
3. Click 'REPORT GENERATOR'. The 'SELECT COLUMNS' window displays. The 'SELECTED COLUMNS' list defaults with the INVENTORY INFORMATION REPORT default settings. 
4. To select individual column names from the 'AVAILABLE COLUMNS' section, click the checkbox to the left of each column name.
5. When all desired columns names are selected, click the "greater than" arrow '>' to move the selected column names out of the 'AVAILABLE COLUMNS' section and into the 'SELECTED COLUMNS' section. The column names are moved to the end of the 'SELECTED COLUMNS' list.
6. To select all column names from the 'AVAILABLE COLUMNS' section, simply click the double "greater than" arrow '>>'. All 'AVAILABLE COLUMNS' fields are moved to the 'SELECTED COLUMNS' section.   
7. To reorder the position of the selected column names, check the desired column name checkbox. Click 'UP', and continue to click 'UP', until the column name is in the desired position in the list or click 'DOWN', and continue to click 'DOWN', until the column name is in the desired position in the list. 
8. Click 'OK' to save the 'SELECTED COLUMNS' list. The 'SELECTED COLUMNS' list is saved for future use and the window closes.
9. Click 'CANCEL'. The window closes without saving the newly edited fields.

Inventory Info Report

The INVENTORY INFO REPORT identifies part numbers, descriptions, total stock quantity available and on reserve, and current cost and history and year-to-date history. The 'LOCATION' in the header of the report indicates the store location being reported.

Reports the line code.

PART NUMBER
Reports the part number.

*
Indicates the part is superseded by another part. Displays blank if part is not superseded by another part.
 
DESCRIPTION
Reports the description of the part.

PN CODE
Reports the part number code.

QTY AVL
Reports the quantity available amount.

MIN
Reports the minimum allowable amount of the part.

MAX
Reports the maximum allowable amount of the part.

ORDER POINT
Reports the order point allowable amount of the part.

LAST SOLD DATE
Reports the date that the part was last sold.

CREATE DATE
Reports the date that the part was created.

QTY LOST
Reports the quantity of this part that could have been sold had the part been in stock.

SALES CLASS
Reports the Sales Class code.

[Price Level]
Reports the current cost of the part.

ROLLING 12
Reports the quantity of sales in the last 12 periods, excluding the current period. Includes superseded parts if flagged.

ROLLING 24
Reports the quantity of sales in the last 24 periods, excluding the current period. Includes superseded parts if flagged.

Inventory Data Report

The INVENTORY DATA REPORT identifies part record fields that are used for invoicing or purchasing, such as the Create Date, Last Sold, Zone, Bin, and Min Sell.

Reports the part number.

DESCRIPTION
Reports the part description.

CREATE DATE
Reports the date that the part was created.

LAST SOLD DATE
Reports the date that the part was last sold.

LAST RETN DATE
Reports the date of the last return.

LAST RCVD DATE

Reports the date the part was last received.

TAX
Reports the tax amount.

NET
Reports the net amount of the part.

MIN
Reports the minimum allowable amount of the part.

MAX
Reports the maximum allowable amount of the part.

ORD PT

Reports the order point amount.

PER CAR
Reports the per car quantity.

PACK QTY
Reports the pack quantity amount.

PACK MSR

Reports how an item is packaged, such as pack, box, or roll.

WEIGHT
Reports the weight.

ZONE/BIN
Reports the zone and bin.

VENDOR
Reports the vendor name.

MIN-SELL
Reports the minimum sell amount.

FIXED FEE $
Reports the fixed fee cost amount.

BUY QTY
Reports the buy quantity amount.

SDNR
Reports the value of the 'STORE DO NOT RTN' flag.

VNDR
Reports the value of the 'VENDOR DO NOT RTN' flag.

Parts On Open Document Report

The PARTS ON OPEN DOCUMENTS REPORT identifies parts on open purchase orders and open sales orders. 

 

Sometimes, certain parts are no longer allowed to be sold, for example recalled parts. The sale of these parts can be prevented by entering a particular 'PN GROUP' value, such as 'DISABLED'. This can be used in conjunction with the 'PN GROUP' rule 'ALLOW SALE' field to prevent selling of the part. Then, to generate a report that identifies disabled products on open purchase orders and open sales orders, enter 'DISABLED' in the 'PN GROUP' field. The generated report can then be used to manually clean up these products, as needed.

 

 

 
LOC
Reports the location or store number of the document.

LINE
Reports the line code.

PART NUMBER
Reports the part number.

DOCUMENT TYPE
Reports where the part was found.

Options are:

 - 'MANIFEST' - Part was found on a manifest.
 - 'INVOICE' - Part was found on an open sales order.
 - 'PO' - Part was found on a purchase order.
 - 'ASN' - Part was found on a purchase order in the ASN status.

DOCUMENT NUMBER
Reports the reference number of the manifest, sales order, PO, or ASN number.

DOCUMENT CREATE DATE
Reports the date and time the document (invoice, manifest, or purchase order) was created.

QTY AVAIL
Reports the value of 'QTY AVAILABLE', located in the MAIN PART ENTRY screen.

RSRVD
Reports the value of 'RESERVE QUANTITY', located in the MAIN PART ENTRY screen.

ON ORDER
Reports the value of 'ON ORDER', located in the MAIN PART ENTRY screen.

VBO QTY
Reports the value of 'VENDOR BO', located in the MAIN PART ENTRY screen.

CBO QTY
Reports the value of 'CUST ORDER', located in the MAIN PART ENTRY screen.

RPL TYPE
Reports whether the replacement part, if any, is a supersede (S) or a Vendor Changeover (VCO). If 'CHANGEOVER PARTS ONLY' is checked, all records indicate VCO.

The 'VENDOR CHANGEOVER' flag is found in the PART HISTORY screen. Note: This flag is not editable via screens and can only be updated via a feed.

RPL LINE 
Reports the line code of the new changed-over part. From the PART ASSOCIATION screen, call up the old part number and view the grid to find the associated Vendor Changeover part attached to it.

RPL PART NUMBER
Reports the part number of the new changed-over part. From the PART ASSOCIATION screen, call up the old part number and view the grid to find the associated Vendor Changeover part attached to it.

Negative Stock Report

The NEGATIVE STOCK REPORT identifies the parts with a negative stock quantity.

Reports the minimum allowable amount of the part.

MAX
Reports the maximum allowable amount of the part.

ORDER PT
Reports the order point amount.

LINE SUBTOTAL
Reports the subtotal number of all reported lines.
